F.O.E. Auxiliary Leadership Guide History

The strength of our Auxiliary lies in the dedication of its officers and members. Each elected officer has unique responsibilities that help keep the organization running smoothly while supporting our mission of service, charity, and fellowship. The following descriptions offer a general overview of each officer position and the important role it plays in the success of our Auxiliary.

Junior Past President

The Junior Past President serves as an advisor to the current officers and provides continuity between administrations.

Responsibilities:

  • Offers guidance and mentorship to the President and officers.

  • Assists with special projects and committees when requested.

  • Shares knowledge of past procedures and traditions.

  • Helps ensure a smooth transition between administrations.

  • Supports the Auxiliary without directing its day-to-day operations.

Madam President

The President is the chief executive officer of the Auxiliary and is responsible for the overall leadership of the organization.

Responsibilities:

  • Presides over all Auxiliary meetings.

  • Enforces the Constitution, Statutes, and local bylaws.

  • Appoints committees and committee chairmen.

  • Oversees the work of all officers and committees.

  • Signs authorized documents and checks when required.

  • Represents the Auxiliary at official functions.

  • Works closely with the Aerie officers to promote cooperation.

  • Ensures the Auxiliary fulfills its charitable and fraternal mission.

  • Provides leadership while encouraging member involvement.

Madam Vice President

The Vice President assists the President and assumes the President's duties when she is absent.

Responsibilities:

  • Presides over meetings in the President's absence.

  • Assists with committee oversight.

  • Supports special events and fundraising activities.

  • Learns all duties of the President in preparation for future leadership.

  • Performs duties assigned by the President.

Madam Chaplain

The Chaplain provides spiritual guidance and helps maintain the dignity and traditions of the Auxiliary.

Responsibilities:

  • Opens and closes meetings with prayer.

  • Offers words of encouragement and inspiration.

  • Assists with memorial services for deceased members.

  • Sends sympathy and get-well cards when appropriate.

  • Promotes compassion, kindness, and fellowship among members.

Madam Secretary

The Secretary maintains the official records and handles the administrative duties of the Auxiliary.

Responsibilities:

  • Records accurate minutes of meetings.

  • Maintains official correspondence.

  • Reads communications received by the Auxiliary.

  • Keeps membership records current.

  • Prepares reports required by Grand Auxiliary.

  • Maintains important documents and files.

  • Notifies officers and members of meetings when required.

Madam Treasurer

The Treasurer is responsible for the financial records and funds of the Auxiliary.

Responsibilities:

  • Receives and deposits all Auxiliary funds.

  • Maintains accurate financial records.

  • Pays authorized bills.

  • Prepares financial reports for meetings.

  • Assists with budgeting.

  • Maintains bank accounts and financial documentation.

  • Works closely with Trustees during audits and financial reviews.

  • Ensures all financial procedures comply with Grand Auxiliary requirements.

Madam Conductor

The Conductor assists with maintaining order and proper ceremony during meetings.

Responsibilities:

  • Escorts officers and candidates during ceremonies.

  • Assists with initiation rituals.

  • Helps ensure meetings proceed according to ritual.

  • Assists the President as needed during meetings.

  • Helps maintain proper decorum.

Madam Inside Guard

The Inside Guard protects the meeting room and assists with maintaining security during meetings.

Responsibilities:

  • Verifies only authorized individuals enter meetings.

  • Assists the President in maintaining order.

  • Works with the Outside Guard (if applicable).

  • Ensures meeting privacy.

  • Helps with ceremonial duties.

Madam Trustee Chairman

The Chairman of the Board of Trustees leads the Board of Trustees and serves as the primary liaison between the Trustees, the Auxiliary, and often the Aerie Trustees regarding the care and management of Auxiliary property and finances.

Responsibilities:

  • Chairs all Trustee meetings.

  • Coordinates the work of the Trustees.

  • Oversees inspections of Auxiliary property and equipment.

  • Reviews bills, expenditures, and financial records before presentation.

  • Ensures Auxiliary assets are protected.

  • Conducts or oversees regular audits as required.

  • Presents Trustee reports and recommendations at Auxiliary meetings.

  • Works closely with the Treasurer regarding financial accountability.

  • Communicates and collaborates with the Aerie Board of Trustees on matters involving shared property, buildings, and facilities.

  • Reports Trustee findings and recommendations to the Auxiliary President and membership.

  • Helps ensure the Auxiliary complies with Grand Auxiliary policies regarding property and finances.

  • Performs all duties assigned by the Constitution and local bylaws.

Madam Trustee

Trustees serve on the Board of Trustees and are responsible for safeguarding the Auxiliary's financial interests and property.

Responsibilities:

  • Attend Trustee meetings regularly.

  • Inspect Auxiliary property and equipment.

  • Review financial records and expenditures.

  • Assist with audits.

  • Recommend repairs, maintenance, or improvements.

  • Ensure Auxiliary funds and assets are properly managed.

  • Make recommendations to the membership regarding financial and property matters.

  • Work cooperatively with fellow Trustees, the Treasurer, and officers.

  • Assist the Trustee Chairman with assigned duties.
